Our online transcription service makes it easy for you order transcripts of your audio files. You just have to upload your files and pay in advance. You can then download the transcript after 1 business day. We provide the transcript files in Microsoft Word, OpenOffice.org ODT and Adobe PDF format. The transcripts are prepared by freelance transcribers who are registered on our system. We have a fine-tuned process where each file is split up in parts and distributed to the transcribers. The individual parts are then reviewed. Once all parts are done they are collated together and proofread once more to produce the final transcript. The transcript is time coded and the speakers are tracked with their initials (view sample).

Our system manages the complete end-to-end process of outsourcing your transcription work. We take care of recruiting the transcribers, vetting them, monitoring their work and paying them. The only thing you have to do is sit back and relax as we work on your files to produce the best possible transcript. Of course, you can check the transcript anytime you want as they are being done.

Our transcripts are high-quality, consistent, well-researched and delivered on time. We get the tough words, acronyms, names of places and other contextual information correct. The words which cannot be transcribed are marked with a blank and timestamped so that you can check the audio and correct it easily.

We can transcribe interviews, group meetings, speeches, lectures, conference calls etc. with any number of speakers (no extra charges!). We can do general or specialized transcription (eg. Academic, Medical, Law etc.). We guarantee 98 to 100% accuracy for transcript and you can also order free re-reviews if you are not satisfied with the result.

We currently support only English language recordings; native as well as non-native speakers. There are no extra charges for number of speakers or non-native speakers.

The transcripts are done completely by hand by our freelance and full time transcribers.

The first time the order is placed, an account on Scribie.com will be created for you with the email address supplied during payment. You can then monitor the progress of your orders, view the partial transcript and finally download the transcripts once they are delivered from the your Scribie.com account. You can also use the same account to upload more files and order transcripts thereafter.

We require payments to be made in advance for all transcript orders. We accept the following credit cards: Visa, MasterCard, Discover, American Express and JCB. We also accept payments via PayPal.

Deliveries

We deliver transcript orders within 1 business day (unless flexible delivery is enabled). Our cutoff time is 1:30 PM EST (US) and orders placed before 1:30 PM EST is delivered the next business day. Orders after that are delivered next to next business day. Business days are Monday to Friday.

We offer a 10% discount for flexible deliveries. We process these orders anytime within a week per our schedule.

Audio files with poor audio quality, high background noise and/or non-native English accent speakers may take up to a week to deliver. If the file is un-transcribeable then it will be returned and the amount paid will be refunded in full.

A delivery limit of 10 hours of transcripts per week, 2 hours per day (approximately) may apply for bulk orders. If you order more than 2 hours in a day then you will receive around 2 hours of transcripts each day till all your files are delivered. For example, if you order 3 files of 1 hour each then you'll receive the first 2 the next business day and the remainder the day after. A single file of 3 hours however will be delivered in two business days.

We are very flexible with the delivery limit and it is just to ensure that we are not overwhelmed by a single large order. Please contact us for a higher delivery limit if you need more. We will be more than happy to arrange it. We just have to be informed in advance in order to plan for it. We do not charge extra for it.

Free re-reviews

We offer free re-reviews if the transcript quality is not satisfactory. We have designed our process to ensure that at a minimum the transcript is 98-100% accurate. But if it's not up to the mark then you can order a free re-review. We will go through the file again and correct all the mistakes we find.

We strive to maintain a high level of quality and take customer feedback very seriously. If we find deliveries are sub-par then we investigate the reasons and take corrective measures to ensure that it does not re-occur.

We do not offer refunds after the transcript has been delivered.

Confidentiality

Maintaining confidentiality of the files is our highest priority and we take several steps to ensure that your data remains confidential.

• We split up the file into smaller parts and distribute it to our transcribers. Nobody but our employees and contractors have access to the full audio file.
• Our freelance transcribers are bound by our terms to maintain the contents of the audio confidential. Once the transcript is done they cannot retain the audio file or the transcript.
• We use 128 bit SSL encryption on our website so that all the communication between the servers and the browser is encrypted.

We do not sell, rent or share personal information with third parties. Please check our Privacy Policy which governs all data uploaded to our servers, including the transcripts. If you need a specific confidentiality agreement signed, then please send the document to support@scribie.com and we will get back to you.

Transcription Process

We follow a completely manual transcription process and manage it end-to-end. We process each file in four stages.

• Distribution: The file is split into smaller parts and distributed to our transcribers.
• Transcription: Each part is transcribed into what is called the Raw Transcript. The portions which are inaudible and/or incomprehensible are marked with blanks at this stage.
• Review: The transcripts are reviewed, mistakes are corrected and blanks are filled. Timestamps and speaker initials are also added at this stage. The remaining blanks are timestamped.
• Proofreading: All parts are collated into the final transcript, inconsistencies between the parts are corrected and the final transcript is reviewed once more throughly.

Our system manages all the above stages. It also takes care of recruitment of transcribers, monitoring their quality of work and making payments to them. You do not have to get involved in evaluating, selecting and monitoring as is generally required on other freelancing sites. Of course, you can check the transcript as it is being prepared anytime from your account.

The transcribers are vetted throughly before they can start working with us. They have to appear for a test initially and all their work is reviewed and rated and they system monitors their performance continuously. We provide them with tools to efficiency transcribe files and train them on how to use it. We specify a comprehensive set of guidelines for transcription and enforce them strictly. We also use data mining and information retrieval tools to analyze the transcript text and detect out-of-context terms and mistakes.

We have designed this system to produce the best quality transcript in shortest possible time and it has proven itself over time. We have completed more than 165,236.77 minutes of transcription to date.

The following are some unique features which our system provides.

• Accurately measure the transcript progress depending upon what stage it is in. You can check the progress or view the partial transcript anytime.
• Ensure that there are at least two different sets of ears and eyes on each file which results in higher quality transcript.
• Produce consistent results through data analysis tools which detect inconsistencies across your files.

We also provide free re-reviews if the transcript quality is not satisfactory. In case we detect a very poor audio quality file, we refund the complete amount for the order.

Accuracy

For clean audio files the accuracy of the transcript is typically in the range of 98 to 100%. We do the research that is required for any technical terms and acronyms which appear in the audio. Our proofreaders highly experienced transcribers themselves and they correct any contextual mistakes and mis-heards before the transcript is delivered to you.

The accuracy also depends on quality of the audio file. If the file has background noise and the speakers cannot be heard clearly or if the speaker's diction/accent are hard to comprehend, then the accuracy will be lower. We put in extra effort for such files to ensure that the transcript is usable for you. We refund the full amount paid for files which are un-transcribeable.

We also provide Additional Proofreading option which you can specify while ordering. For these files we do two rounds of proofreading instead of one and charge $0.50 extra for it. This increases the accuracy of the transcript even if the file is difficult to transcribe.

You can also order free re-reviews for transcripts if you are not satisfied with the transcript quality after it's delivered.
